Introducing email list behavior in Fleep!

One of the key parts of the Fleep email integration is that people can be included in Fleep conversations over email. Now, we’ve made this functionality a whole lot better – we’re introducing email list behavior in Fleep!

Over time, we have done our best to map incoming emails to the right Fleep conversations. However, conceptually email threads don’t carry a universal way of grouping emails into a conversation – it can be done by members, by subject or some other indicator.

Fleep is conversation-centric, which means we group emails together by membership. In the context of how Fleep interoperates with email, this means that every time an email participant adds or removes someone from the thread of emails, this creates a new conversation for Fleep users.

We have built email list behavior for Fleep conversations to improve this experience. With email list behavior, Fleep conversations that have email participants behave in a clear and predictable way – all members of the list receive the messages, and all replies flow back to the right conversation for Fleep users.

fleep emailIn fact, email lists are the closest thing to a messenger-like conversation in the email world – where participants join the list, leave the list, and reply to the list.

As such, email list behavior improves the Fleep email integration quite a bit, by making the experience more clear and predictable for everyone.

How does it work?

In short, when email list behavior is enabled for a conversation, then the conversation acts like an email list to email participants. When email list behavior is disabled, the conversation acts as a normal email thread to email participants.

If email list behavior is enabled, then email participants receive the messages in the following form:

Email user sees the message sent from Fleep as a message in an email list, where the Fleep conversation email acts as the list email address.

If email list behavior is disabled, then email participants will receive the messages in the following form:

Email user sees the message sent from Fleep as a normal email in a thread, because email list behavior is disabled.

There are a few ways in which email list behavior improves the Fleep email integration experience for Fleep users and email participants:

  • Email replies are posted in the original conversation, regardless if email participants hit Reply or Reply All. So it’s foolproof – all replies are sent to the whole list, as the list address is the Reply-To address. Without email list behavior, hitting Reply to a group thread breaks the thread, and likely creates a new conversation for the Fleep users.
  • Email replies are posted in the original conversation even if an email participant replies with a different email address. Without email list behavior, replies from a different email address would create new conversations for Fleep users. With email list behavior, the replies flow nicely back to the same conversation in Fleep
  • Better message grouping for email users. When email list behavior is enabled, Fleep attaches information to email’s technical header that helps email clients group the list emails into one thread.
  • Email participants can leave the conversation, should they wish to do so. Without email list behavior, the only way an email participant could leave a Fleep conversation and stop receiving messages from it, is if a Fleep user removes them from the conversation. Now, with email list behavior enabled, the email list signature includes a link that email participants can use to leave the conversation.

How to enable or disable email list behavior?

Starting from today, all new group conversations you create in Fleep will have email list behavior enabled by default. However, you can always disable or enable it from the Conversation Settings.

In fact, Heroic is much more than a record label – they are building a positive and forward-thinking community, an ecosystem where super-talents can flourish. Not to namedrop, but the artists they work with include San Holo, Ark Patrol, Fytch and soupandreas, for example.

We spoke with Yiannis Karavassilis from Heroic about why and how they use Fleep. Without furhter ado, here’s the Fleep user story of Heroic!

How did you find out about Fleep?

We had tried using plenty of other team chat software before. We always found some issues with them, whether that was functionalities that weren’t useful, pricing points that didn’t make sense or features that were missing. After doing some research we found Fleep and we immediately fell in love with how user-friendly it is: how easy it is to navigate, create teams and engage with our team and artists.

Why does the Heroic Records team use Fleep?

team chatOur team currently consists of 12 people, located all around the world. The core team of 6 is based in the Netherlands, and the rest of the team is located in various states in the USA and Canada.

Fleep has become our prime means of communication to update each other, exchange files quickly, talk strategy and even have personal one-on-one conversations. Even more, it has also become a portal for us to work and communicate with our artists. In this, Fleep has really helped ignite a sense of community among the team and our artists. We all feel more connected than we could have ever been without Fleep.

Fleep is also great for having everything in one place, centralized, so we do not have to scour through hundreds of conversations on Facebook Messenger.

How does your team use Fleep?

We split our communication into different teams, and then have conversations for different topics. For example, we have a “Label Group” team with conversations for Marketing, Music Discovery, Design etc.

team chatWe also have a main / general conversation that we’ve named “The Empire” – our whole team and all artists can see this one – there, everyone can post new music, key marketing highlights and engage with the community.

What do you like about Fleep?

I love how easy it is to share files within Fleep, everything is just a drag and drop away. Navigating within conversations to find keywords is amazing as well. As an A&R (Artist & Repertoire) I get sent a lot of demos daily from our artists to review.

I tend to give a lot of feedback to our artists which creates very lengthy conversations, making it harder to just quickly pull up the demo that some might have sent a few days or a week before. With a simple search I can type in the key word and it will pop up immediately. Love it!

What are your Fleep tips?

Command + G is GOD! Makes my life so much easier to navigate through all my conversations and quickly pull convo with a team-mate or artist I want to talk with.

Who would you recommend Fleep to?

I would recommend Fleep to any company that’s looking for a very solid solution for a work chat environment. I’d say especially say startups.

I think one thing we really love about Fleep is that all of its main functionality is free. As a startup, it’s  sometimes hard to find the funds to allocate to the software you use, especially when you want to prioritize paying your employees (and artists in our case).

Fleep functions as well (if not better) as other chat for teams we tried out where pricing was off the roof. Customer service is great and friendly, and the whole platform really helps create a wonderful culture.

11 Tools to Manage Distributed Teams

Managing a business these days is a lot different than in the past. It is no longer necessary to have an actual physical location for a business. Many businesses now operate remotely, and have distributed teams. There is no office or headquarters, and there are no set working schedules. Instead, there is a virtual office that is used as a business address, but no one actually works there. Employees can be anywhere in the world, and working at any time of the day or night.

toggl1. Toggl – This tool is designed to be a simple time tracker for both individuals and teams. It allows you to track time right from your browser, computer or smartphone. Its interface and reports are neat and it also integrates with other tools that are valuable for business.

The way Toggl works is that you enter your activity, select a project and client and then start timing. You can then easily edit the start and end time of any activity and you can use the reports for billing clients.

2. Flock by Teleport.org – There comes a time where your remote team might need to meet in person. Either for a retreat to instill culture, or simply to finalize a project, working online may not be possible.

Flock, a feature by Teleport is a service that will help you find a destination for your team to meet based on location, budget, and number of members in your team. All you have to do is enter the location of the team members, and you will be presented a list of possible locations to get the team together:

time doctor3. Time Doctor – You need to use tools that are going to help improve productivity, and Time Doctor is one of those tools. This is for your own personal productivity, and you will learn just how much time you actually spend on little things like team chat.

Features include time tracking with screenshot monitoring, see how much time you spend working / breaks / meetings, track time for projects and clients, allow clients to log in and view the work that has been done for them, etc. You can even use it to pay contractors through integrations, and as a payroll module. This is the tool you need to really know how much time you are spending on everything.

appear.in4. appear.in – Team meetings have never been easier since this tool came along. You can use appear.in to enjoy easy voice and video calling so you can always make sure everyone is in the loop about what is going on. Even if you just want to hang out and chat with your team, you can use appear.in to do it.

Why is appear.in so awesome for communicating with your  team? Firstly, there’s no need to register or download anything to use it. Just share the room link, and everyone can join in the browser. Secondly, you can easily share your screen with everyone who joins the call. Easy as 1-2-3! Additionally, there are some awesome stickers to make your video conversations fun. (Use those when the serious business has been done.)

Many companies build all of their code through Github, so they always know what is going on with all of the projects, issues, etc. All work on development and discussion goes on here before projects are complete, and code is always reviewed by two people before it is sent into master.

GitHub makes development collaboration a whole lot easier for your distributed teams, and leave you with more time for other important things, like getting more work done on important projects. Your team will always know what is going on at any given time, and be able to discuss project changes, new ideas, and a whole lot more.

hackpad6. Hackpad – When you need real time collaboration, this is the tool you should be using. Hackpad allows you to collaborate when you have new ideas that you want to try out on your team members. Each team member will have access to all of the pads, and everything is easy to use.

In Hackpad, you can jot down comments and thoughts, and easily collaborate on projects from anywhere in the world. This is one of the fastest and easiest ways for teams to be able to communicate when each member is in a different location. You can have meetings that are just like in-person meetings, with everyone being able to add their own input to the conversations for project collaboration.

You can make lists at the beginning of each week of the things that you need to do, and log progress of the things that do get done. This is a really easy way for everyone on your team to be able to collaborate and share the things they are working on.
