Over the last few weeks, we’ve been gradually rolling out changes that will all come together on April 1st. Our pricing plans are changing — in short, we’re adding some new value to our free users (admin roles in all conversations) and at the same time moving some functionality to the paid-only tier (Teams and unlimited group conversations).

Overview of Fleep’s new pricing

Here’s an overview of Fleep’s new pricing.

Functionality available for Basic (free) users:

  • Create unlimited 1:1 conversations
  • Create up to 3 group conversations
  • Participate in unlimited group conversations
  • Admin roles in conversations (but no rights to delete other members’ content or remove access to conversation history)

Functionality available for Business users:

  • Create unlimited 1:1 and group conversations

  • Premium conversations (where admins can delete anyone’s content and remove access to conversation history)

What does this mean for your account?

If you belong to any Free Teams, then you have until April 1st, 2019, to upgrade to Fleep for Business and convert these into Premium Teams.

We have introduced a set of Organization settings to Fleep for Business. You can find them in the revamped “Profile & Settings” section of the Admin panel. These settings configure a few policies that apply to your Fleep for Business organization and all of its premium accounts.

So, what can you configure with Organization settings?

There are five settings that you can apply to your Fleep for Business organization. You can find the organization settings in the Admin panel, under the Profile & Settings tab:

1. Notify users of external members

When you enable this setting, then a banner will be shown to your organization’s members in Premium conversations that have members from outside your organization. The orange banner says “Conversation contains members outside your <Organization name>”:

conversation contains members outside organizationThis setting will be helpful if you want your people to be aware of external accounts, for confidentiality reasons, for example.

2. Notify users of conversations not owned by your Organization

When you enable this setting, then a banner will be shown to your organization’s members in conversations that are not Premium conversations. That is, conversations that are not owned by your organization. The banner says “Conversation is not owned by <your Organization’s name>”:

This setting is helpful if you want your people to be aware that such conversations are not owned by the organization. This can help ensure confidential information is only shared in company-owned conversations, for example.

3. Create all conversations as Premium conversations

If you enable this setting, then all conversations your organization’s accounts (i.e Premium accounts) create will be created as Premium conversations. This applies to group conversations, team conversations, dialogues and monologues.

Do note that this is only enforced when the conversation is created. That means users can still convert conversations to regular, non-Premium conversations after creating them, by un-ticking the appropriate checkbox in the Conversation settings. This setting is helpful if you’d like all conversations created by your people to be company-owned by default.

4. File retention policy

If this setting is enabled, then all files posted in Premium conversations will be automatically deleted 14 days after they were posted.

When you enable this setting, it is applied retrospectively as well, meaning all files older than 14 days will be deleted from Premium conversations. If there are any conversations that have been converted from free to Premium, then this is applied to all files posted since the most recent date when that conversation was switched to Premium.

5. Anyone with the link can join the Organization

Anyone with the link can join the Organization

If this setting is enabled, then anyone who has the link can join your organization via that link. When someone joins via that link, they are also added to your subscription.

Fleep is a network, which means you can chat and collaborate with any other Fleep user. Previously, you had to know someone’s Fleep username or email address to find them in Fleep… Now you can simply search for them with our user search!

How to find users in Fleep with user search

When you know someone is a Fleep user and want to find them, you can search for them by typing their name into the general Search box, on the left pane in the desktop version. This will do an initial search from among your conversation topics and contacts. To search for users, click on the “Search from users” button that appears.

You will then see a list of all users that match your search. If you’ve found who you were looking for, you can create a conversation with them by clicking on the search result. A popup will appear to confirm whether you wish to create the conversation.

The popup also includes all the public information for the account, which will help make sure you’ve found the right person — their full name, avatar, username, last activity, as well as their Fleep for Business organization name and status message (if they have those).

Likewise, when you’re creating a new conversation or adding members to an existing one, you can now simply type the name and hit “Search from users” to choose the new member from all Fleep users.

That’s it! As easy as pie. Do note that for now, user search is only available on the desktop versions of Fleep (web browser, Windows, macOS and Linux apps).

The nitty-gritty of user search in Fleep

Now, if  you’re interested in the more specific and technical details of how user search works in Fleep, keep reading.

You can start the user search with as many (or as few) characters as you’d like. The search uses both the users’ full names as well as their usernames to find matching results. So, if you search for “Joe”, you’ll find all the users that have Joe as their name in Fleep, as well as anyone who has “joe” in their Fleep username. For example, if there was a Steve Smith with the username “average.joe@fleep.io”, he would show up if you searched for “Joe” as well as if you’d search for “Steve Smith”.

If your search is at least 4 characters long, then it will also show results where the 4 characters are not a full match for the search string. For example, if you search for “Joe” (less than 4 characters), it will return results where “Joe” is a full string (either the whole first name, last name or part of the username). However, if you search for “Jaco”, it will also return results where “Jaco” is just the beginning of the match, e.g. users named “Jacob” or whose username starts with “Jaco”.

If you have deleted any contact from your contact list, then you will also not be able to find them from the user search. You’d have to use their username or email address to chat with them on Fleep again.

That’s right, we have implemented Canned responses into a work coordination tool. Why would you want to use Canned responses in Fleep? And how can you use them?

Read on to find out.

Canned responses in Fleep — why?

Canned responses are predetermined responses to common questions. They are often used in different forms of communication, perhaps most commonly in email communication. Often, canned responses are also used in customer support tools to provide answers for frequently asked questions.

So, why did we add canned responses to Fleep? First and foremost, canned responses are useful for those of you who send and receive emails in Fleep. Using canned responses for common requests that come in via email saves your time. Even more, it can help you make better and quicker decisions by removing the friction of writing every response from scratch.

Additionally, we realized pretty quickly that canned responses can be used in team communication as well.

How to use Canned responses in Fleep

You can set up your Canned responses in your account Preferences. In the desktop version of Fleep, click on your account to launch the account menu and choose Preferences from the menu that appears. Scroll down to the bottom of that view to find the Canned responses section. Click on the “New response” button to add a canned response:

Canned responses in Fleep work with the /can command, followed by the name you give for the Canned response. So, for example, if you receive a lot of incoming requests via email — meeting requests, partnerships, sales emails — you may want to set up two different canned responses, “thanks” and “no thanks”.

With a little bit of upfront time investment into this, you can put together a library of canned responses for your most common situations. Note that you can create up to 20 canned responses in Fleep.

To use the canned responses you have set up, simply start your message with /can and choose a canned response from the popup menu with the tab or enter key, or by clicking on it in the menu. The canned response will then appear in the message entry area just as if you had written it.

Canned responses in a team messenger?

Canned responses are commonly used in email clients and customer-facing business messengers — that is, in situations where there are usually a lot of similar incoming requests or questions. While the canned responses in Fleep are most useful to those sending and receiving emails in Fleep, canned responses can also be used in team messaging.

For example, if you use specific formatting for your tasks in Fleep, you can use canned responses to create a template for your tasks. Or you can set up some constructive and/or fun responses like “have you tried turning it off and on again” or “can’t reproduce the issue, works fine for me” (especially handy for software teams). If you wish, you can also save your favorite gifs as canned responses — simply drag and drop the gif file into the canned response when you’re creating it.

Currently, canned responses are only available in the desktop version of Fleep. Let us know if you’d like to use them on the mobile apps as well!

Sometimes, you want to let your team know what you’re up to without posting a message that would notify everyone in your team. For a while now, we’ve seen our users edit their names to “Jack Smith (working from home)” or “Kait (on vacation until 11.07.)”. Now, you can share such updates with the Fleep status message!

We’re excited to share that the Fleep status message functionality is now available to all Fleep for Business users. If you’re on the free (Basic) subscription, you can try it out by starting a trial of Fleep for Business.

 

Setting your Fleep status message

To set a status message, click on your account menu in the bottom left corner of the desktop app and choose the “Set status” menu item. A popup will appear, where you can choose a custom emoji and message for your status. We’ve created a few examples as suggestions for you, but you can also get creative with it and choose your own emoji and status message text:

If you don’t pick an emoji for your status message, and just type the message, then the Speech Balloon emoji will be used by default. You can always clear your status from the same popup, if you wish.

Where is the Fleep status message shown?

Your status message is visible to everyone you interact with on Fleep. The status message emoji is shown next to your name in the message flow, on your profile and in the members list inside conversations. When you hover your mouse over the emoji, you can see the full status message:

In 1:1 conversations, the status message is also shown in the conversation header, under the person’s name. Your own status is also always visible next to your name in the bottom left corner on the desktop version.

What else?

The Fleep status message is now available on all desktop versions of Fleep, so you can set your status and see other users status messages on the desktop version. Mobile support is coming soon!

Pro tips:
1. if you click on the emoji next to your name in the bottom left corner on the desktop version, it will launch the popup to set a new status message! This is a quick shortcut to changing your status.
2. type and send “/status” in any conversation — another quick way to launch the status message popup!
